As a vital member of our clinical operations team, you’ll provide administrative support to ensure our practice runs smoothly and efficiently. In this dynamic, fast-paced role, you’ll be the friendly face that plays a key role in creating a positive, efficient, and compassionate environment for both patients and clinical staff. The Senior Practice Assistant provides advanced administrative support to ensure efficient clinical practice operations under minimal supervision. This role serves as a key resource for scheduling, registration, billing, and patient service processes while supporting daily office operations and staff. What You'll Do: • Schedule patient appointments and maintain appointment records. • Assist callers with inquiries and coordinate appointments. • Process billing forms and scan documents into patient medical records (LMR). • Serve as a Super User for scheduling, registration, and billing systems, providing guidance and training • Perform advanced scheduling functions, including surgical scheduling and schedule management. • Provide functional guidance to Office and Practice Assistants. • Support the Supervisor in overseeing daily practice operations. • Handle messages related to prior authorizations, provider inquiries, prescription refills, and test results. • Collect patient co-payments as needed.
Qualifications
Education
High School Diploma or equivalent required.
Experience
3–5 years of office experience required. Skills & Knowledge Advanced proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint). Knowledge of office operations and standard administrative procedures. Strong phone, customer service, verbal, and written communication skills. Ability to compose, edit, and proofread professional correspondence. Excellent organizational, multitasking, and time-management skills. Ability to follow established processes and work effectively within a team environment. Strong attention to detail and accuracy.
